ELECTIONS 2021 PROCESS & DETAILS

Nov. 7, 2021 2pm

The annual meeting will begin at 2pm, followed by annual elections. Food will be available afterwards. During the annual meeting we will discuss changes to the constitution, new and old business. ONLY ACTIVE MEMBERS* MAY PARTICIPATE IN VOTING, however, all members no matter your status are welcome to come to our club meeting and may sit near for our elections. 


During the annual meeting, active members will receive ballots for them to vote and deposit in a box that day.  All contested positions will be voted on via ballot.  


IF YOU WISH TO RUN FOR ANY POSITION, YOU MUST SUBMIT YOUR APPLICATION IN ADVANCE BY NOV. 5 


The active members not at the meeting will be sent ballots with a specific deadline to allow them to vote too. If there are no contested positions, there will be no mailed ballots.

OPEN POSITIONS

HOUSE MANAGER

  • Works with Grounds crew and Maintenance group.
  • Heads up special projects.
  • Monthly maintenance of Facility when needed.
  • Available for emergency calls to club.
  • Set up and take down fences and trailer for festivals.

ASSISTANT TREASURER

  • Assists Executive Treasurer.
  • Manage financial assets and liabilities of our organization.
  • Pay Bills, Monthly sales Tax and Property Taxes.
  • Update yearly licenses.
  • Provide Monthly Statements for Board.
  • Set up Cash boxes, dinner tickets and cash change for our events.
  • Balance all cash and ticket boxes and pay bands during events.
  • Allocate funds for Kitchen and Bar.
  • Work with Club Accountant.
  • Provide Budget for monthly Spend.
  • Question items we need or want to spend money.

PARK COMMITTEE

  • Mow grass and keep grounds pristine condition year round.
  • Trim hedges, trim  trees, pick up fallen debris, spray weed control weekly
  • Leaf Pickup in Fall
  • Put up and take down banners for festivals
  • Coordinate Parking crew for Festivals
  • Off season, maintain tractors and mower decks, check walkways for snow
  • Blow off parking lot and patio areas
  • Anything else that needs to be done with grounds
  • Winterize outside bathrooms and open them up in the summer
  • Grass repair when needed

ALL BOARD MEMBERS & JOB DESCRIPTIONS

President

  • Oversee operations of our GFS
  • Coordinate and work with Board Members,  Groups  and Committees
  • Schedule Events and Hiring Bands
  • Head up Monthly Board Meetings
  • Represent Akron GFS at Annual National Meetings and Events
  • Coordinate Projects and Costs proposals
  • Work with our Ladies President, resolving problems and issues that arise 
  • Present as Speaker during events and meetings
  • Oversee and work with all governing agencies and corrective measures required.
  • Look towards the future, propose a vision for future ideas and events for our Club
  • On call for any unexpected issues
  • Assist with writing the newsletter


Ladies President (Frauengruppe Leiterin)

  • Promote membership to group
  • Organize and conduct bi-monthly meetings
  • Plan menus for all club events and festivals
  • Order and purchase all food and supplies for all events
  • Manage all food venues for festivals with chairperson
  • Manage kitchen volunteers for all events and festivals
  • Attend and collaborate with main Board members at regular scheduled board meetings
  • Document attendance, food preparations, consumption
  • Documenting procedures and time schedules for festival and event preparations, recipes, and tips for future leaders


 1st and 2nd Vice Presidents

  • Be prepared to fill in or replace President as needed
  • Manage Facilities, Repairs and new Projects
  • Assist other groups when needed
  • Coordinate Dance Groups schedules for performances
  • Schedule volunteers for Events and Projects
  • Meet with Government agencies on Inspections and follow up visits
  • On call for any unexpected issues
  • Coordinating set up and tear down of festivals
  • Prepare park for festival set up


Treasurer/Asst Treasurer

  • Manage financial assets and liabilities of our organization
  • Pay Bills, Monthly sales Tax and Property Taxes
  • Update yearly licenses
  • Provide Monthly Statements for Board
  • Set up Cash boxes, dinner tickets and cash change for our events

Admin Secretary

  • Record Minutes of Meetings and report them for following months
  • Maintain proper Protocol during meetings
  • Monitor Constricts of our Constitution and by Laws
  • Record Attendance at meetings
  • Assists President with other Club Business as needed.
  • Record Election results 
  • Sends out membership renewals and notice of elections
  • Update the Membership database with new members and changes
  • Provide membership information to guests attend festivals
  • Contact new potential members that show interest
  • Collect dues and issue new membership cards


Bar Treasurer

  • Pay Bar Bills
  • Keep track of Income and Expenses
  • Provide monthly reports to Treasurer and Board
  • Collect Tickets at end of event


Kitchen Treasurer

  • Pay Kitchen Bills
  • Searches out deals and works with Ladies President
  • Track income and Expenses
  • Provides monthly reports


Correspondence Secretary/ Public Relations

  • Review and responds all incoming and outgoing correspondence.
  • Provide translations when needed
  • Attending functions and handling  seating arrangements
  • Attend monthly meetings
  • Prepare lists for elections and meetings
  • Responding email and correspondence from other Clubs/Groups
  • Publicize our Club in its best light with Newspapers, information websites, radio advertising, fliers for local business establishment to display
  • Word of mouth communications with local businesses on events including Brimfield sign
  • Sends out cards, food and flowers to members that are sick or recently deceased
  • Make calls or visit members no longer able get out of home or manage care facilities
  • Search out new opportunities to promote our Club
  • Monitor phone messages and respond
  • Schedule cleaning companies
  • Vacuum and clean Club office
  • Keep in contact with reporters and advertisers on upcoming club events for publicity


Bar Managers

  • Schedule and purchase all inventory including Wine, Spirits, Beer, Soda and Water
  • Maintain inventories on all of the above
  • Attend all Club events and support all private events
  • Schedule volunteers for all events including dances, weddings and festivals
  • Clean and maintain Bar area
  • Establish pricing


Youth Group Leaders

  • Weekly communications with group parents on upcoming practices and performances
  • Oversee weekly practices
  • Teach dance routines,
  • Arrange uniforms and fittings
  • Provide monthly financial reports to Treasurer and Board as well
  • Oversee Festival Booths set up and operations
  • Arrange dance lists, provide all dinner reservations for kids
  • Obtain head count and coordinate Transportation, Hotels for all Club members during club travels
  • Head up all Fundraisers including, Sausage making/selling, 5K Lederhosen run,  coordinate with other groups on Fish Fry’s
  • Every 6 years, Plan, arrange, performances to Europe, selecting destinations, all travel plans including airlines, bus charters,expenses, and activities. Lead Chaperone for these events
  • Arrange fun activities throughout the year
  • Attend all board meetings and annual national meetings


Jr Youth Group Leader

  • Teach group members our ethnic dances
  • Prepare programs for events such as Europeanfest, Oktoberfest, German Day, and Christmas program
  • Run Jr Youth games and booth during festivals
  • Help coordinate Fish fry fundraiser with other groups leaders
  • Communicate regularly with Parents
  • Hold weekly practices with Kids
  • Arranging times for dirndl and vest fittings
  • Provide monthly reports to our Board
  • Keep income and expense logs


Kinder Group Leaders

  • Teach children the basics of dancing
  • Maintain income and expenses logs for group
  • Prepare programs for upcoming events
  • Work and communicate with Parents on schedules
  • Run booth functions at festival
  • Coordinate with other group leaders during Fish Fry fundraisers
  • Coordinate programs for Christmas and Mothersday
  • Schedule events across the area for performances


Tanz Group Leaders

  • Organize and prepare for events
  • Help arrange new dances
  • Teach dances and work with new members
  • Attend monthly board meetings and annual national meetings
  • Maintain their income and expense logs and report to Treasurer
  • Coordinate volunteers for  Jaeger booth during festivals
  • Cultural Leader ( Kulturberator)
  • Keep the Culture of our German history alive.
  • Teach the Childrens groups, basic German language
  • Work with the Childrens groups, teaching them about heritage, poems, and traditions
  • Teaching Cooking classes to our members to pass on long time German and Donauschwaben recipes
  • Represent our Club as” Kulturberator” during our National events


Reservations

  • Take reservations for all internal club events except concerts and some special events
  • Record guests names and and number to attend and table requests
  • This list is then forwarded to seating arrangement folks
  • Provide numbers to kitchen for food ordering


Media Group

  • Newspaper and Blog Writer
  • Write Blog articles pertaining to current and past events
  • Promote GFS to the community as a whole, as well, to our GFS members
  • Currently we no longer have an ability to enter articles within international newspapers and promote our club to all other organizations but we’re always searching for new methods to promote our club including radio
  • Works with our other media group, Web and Photographer to promote our club with regular blog entries and pictures


Website and Social Media

  • Provide functioning Website that is professional in appearance that fits the scheme of our German culture
  • To keep website and social media (Twitter, Facebook & Instagram) up to date on events, newsletters, and information
  • Maintain email lists for mass mailings and send out flyers when necessary
  • Maintain website and Club’s email addresses that are assigned to Board members
  • Reply to daily electronic messages across all platforms


Club Photographer 

  • Record and Photograph all Club events when possible
  • Maintain and organize the thousands of photos
  • Provide photos for all other groups when needed
  • Take Group photos from all Dance groups, Ladies Board and members and GFS Board.
  • Attend monthly board meetings
